Who we are
Frame My Life Ltd is the data controller for personal information collected through
framemylife.co.uk. We are registered with the Information Commissioner’s Office (ICO),
registration reference ZC193849. Registered office: 12 Willow Gardens, Rackheath,

What we collect
• Your name, email address, delivery address and phone number, to take and deliver
your order.
• The photograph you upload, to make your keepsake.
• Payment details, which are handled by our payment providers; we never see or store
your full card number.
• Order history and correspondence with us.
• Basic technical information (such as device and browsing data on our site) through
cookies, to make the site work and understand how it is used.
How we use your photograph
Your photograph is special, and we treat it that way. It is uploaded securely and used only to make your keepsake: to check its quality, to prepare the engraving file, and to produce the finished piece. It is screened by an automated moderation service to keep the platform safe. We never use your photograph for marketing, never share it beyond the services below, and never sell it. We store two versions: the cropped image we engrave from, and your unedited original, which lets us adjust the framing if something needs correcting without asking you to send your photograph again. Your original is deleted 30 days after you upload it, and the engraving version 90 days after you upload it, so that a reprint remains possible under our quality guarantee. If you add a photograph to your basket but do not complete your order, it is deleted on the same schedule. You can ask us to delete your photograph sooner at any time by emailing us.
Where your photograph is stored
While you are designing your keepsake, your photograph stays on your own device. The preview, the quality check and the cropping all happen in your browser. We do not receive your photograph at all at that stage, and if you close the page it is gone.
When you add a keepsake to your basket, your photograph is uploaded to our image hosting provider, Cloudinary, so that we can prepare and engrave it. This happens before you pay, so if you do not complete your order we may still hold your photograph. It is deleted on the schedule below either way. It is held on a private link that we do not publish or share, and it is checked automatically for prohibited content as part of that upload.
Who helps us process it
We use a small number of trusted services to run our store, each acting under contract:
Shopify (our store platform and payments), Cloudinary (secure photo upload and storage), and Amazon Web Services (automated photo moderation). Some of these providers may process data outside the UK; where they do, transfers are protected by recognised safeguards such as the UK Extension to the EU-US Data Privacy Framework or standard contractual clauses.
Legal bases
We process your information to perform our contract with you (making and delivering your order), to comply with legal obligations (such as tax records), and for our legitimate interests in running and protecting a small business (such as moderation and fraud
prevention). Where we send marketing email, we do so only with your consent, and you
can unsubscribe at any time.
How long we keep things
Order records are kept for 6 years to meet accounting and tax obligations. Photographs
are deleted as described above. Marketing preferences are kept until you unsubscribe.
Your rights
Under UK GDPR you have the right to access the personal information we hold about you, to correct it, to have it deleted, to restrict or object to its use, and to receive a copy in a portable format. To exercise any of these, email hello@framemylife.co.uk. You also have the right to complain to the ICO at ico.org.uk or on 0303 123 1113.
